Constituent Programming and Events Officer 4 (Associate Director of Alumni Events)
The Penn State Alumni Association seeks an Associate Director of Alumni Events. This individual will work independently or collaboratively to plan and manage events supported by the Engagement Unit such as reunions, Homecoming, presidential receptions, pep rallies, alumni networking events, educational, and recognition events. Responsibilities include developing and maintaining timelines and budgets, participation in department strategic planning, overseeing contract approvals, collaborating with other units or staff in planning or implementation, recruiting and managing volunteer committees, disseminating information, supervising onsite set-up and changes, and troubleshooting. Prior logistical planning experience to include attendee registration, venue search, contract negotiations, food & beverage, audiovisual, room set ups, speaker management and housing blocks is required. The Associate Director will also research, prepare, and edit informational materials to be used in promotions and scripts, compile data collected from event evaluations, conduct post-event audits, and produce summary reports. This position supervises the Event Coordinator positions and oversees the scheduling of events in the Hintz Family Alumni Center. Weekend and evening work as well as overnight and travel are required. Attention to detail is imperative as well as excellent communication skills. Previous experience with Word, Excel, LotusNotes, Cvent, and other event management tools is highly desirable. The successful candidate must possess exemplary interpersonal skills, demonstrate a genuine appreciation in working with diverse audiences and the ability to lift 30 lbs. with or without accommodation, CMP, CMM or CSEP designations encourage. Typically requires a Bachelor's degree plus six years of work related experience.
