Events Manager

Position Description

The NCHERM Group, LLC (www.ncherm.org) is a law and consulting firm based in Berwyn, PA that is dedicated to best practices for college and school health and safety. The NCHERM Group also manages the associations NaBITA (www.nabita.org) and ATIXA (www.atixa.org). The NCHERM Group seeks an experienced Events Manager to plan, execute, and manage an annual schedule of 10-12 national and regional trainings and annual conferences in close collaboration with the organization’s executive staff. The position is based out of The NCHERM Group’s main office in Berwyn, PA, near Philadelphia.

Responsibilities

  • Serve as the Events Manager for ATIXA (the Association of Title IX Administrators – www.atixa.org, a membership association with 3,500 members)

  • Serve as the Events Manager for NaBITA (the National Behavioral Intervention Team Association – www.nabita.org, a membership association with 1,500 members)

  • Serve as the Events Manager for a to-be-launched membership association, slated to have its flagship annual conference in 2019

  • Plan and execute 3 or more national hotel-based training and certification events annually which have an average of 6 course tracks and 400 attendees

  • Serve as logistics chair for the ATIXA annual conference, an event with 450 attendees in Philadelphia each October

  • Serve as logistics chair for the NaBITA annual conference and Campus Threat Management Institute, an event with 350+ attendees each November

  • Liaise with ATIXA staff to coordinate and successfully execute multiple regional training events per year

  • Liaise with NaBITA staff to coordinate and successfully execute multiple regional training events per year

  • Develop a timeline for execution, including a comprehensive and detailed list of action items

  • Coordinate with contact at Helms Briscoe to source, identify, negotiate and contract with hotel venues around the country

  • Create a detailed budget, manage expenditures, and provide a post-event report on revenue, costs and return on investment

  • Coordinate with hotels, convention services, and campus hosts to secure event venues and services

  • Liaise with conference chairs

  • Liaise with invited speakers, faculty and presenters

  • Work with association staff to manage registration process

  • Serve as primary point of contact for hotel-based event planner

  • Run in-house event planning meetings

  • Work with hotel contacts to develop BEOs for banquets and A/V needs

  • Manage all preparations in the months leading up to an event, including materials development, packing, and shipping

  • Prepare content for event websites

  • Maintain and update databases and files

  • Assist in materials preparation/mailing for regional and national conferences

  • Assist in the development of organizational efforts to create efficiency, consistency, and standardization in branding, policies, processes, and procedures

  • Manage necessary certification for attendee accreditation, such as CEUs, CLEs, credits through SHRM and HRCI, etc.

  • Work with NCHERM Group consultants to design and implement training opportunities for clients

  • Provide a very high level of communication and service delivery, responding in a timely manner to inquiries and concerns

  • Create a daily summary of activities

  • Assist with special projects as necessary

  • Travel: will be expected to do moderate (4-12 times per year) domestic travel to be on-site for the duration of conferences, trainings, and events. Travel can include evening and weekend commitments.
