Manager, Meetings and Events

The National Confectioners Association is seeking a Manager, Meetings & Events to join a high energy team of association professionals.  Candidate will successfully plan and ensure the effective execution of all meeting planning responsibilities for NCA’s State of the Industry Conference (SOI), Washington Forum, state lobby days, inside the Beltway events, PAC events, and workshops/courses as needed. Fiscally minded to produce and maintain financial oversight on the events to meet or exceed revenue.

 Event Management Responsibilities:

  • Hotels and venues: disseminate RFPs, effectively negotiate contracts, gather results, and make recommendations. Maintain oversight throughout planning process, to include room block management and tracking, management of suites and VIP needs

  • Disseminate RFPs for all other vendors, effectively negotiate, gather results and make recommendations. Vendors to include production, entertainment, catering, transportation, décor, security and other logistics needed to professionally execute the events

  • Plan, manage and execute all logistical aspects of the events needed to deliver high quality attendee service and experience including, but not limited to, meeting room and space logistics, food and beverage, production, security, transportation, function space assignment, ordering of supplies

  • Hiring and management of temps to assist with labor-required logistics

  • Speaker management to gather and collect bios, headshots and logos, technical requirements, speaker logistics and other requirements to meet their expectations leading up to, during and after event

  • Management of 3rd party travel firm for SOI to coordinate travel arrangements for retail customers with a VIP customer service approach

  • Develop and manage event budgets to meet or exceed goals, project year-end financial data, make ongoing adjustments to reach the planned fiscal goals. Establish master accounts, and reconcile event bills in a timely fashion

  • Oversee staff travel/hotel process

  • Procurement of recognition awards, supplies, signage, badge stock and holders, ribbons and materials needed to produce events

  • Develop staff briefing notebooks, including staff assignments structured to deliver an excellent attendee experience

  • Coordinate and produce onsite registration packets

  • Coordinate leave behind packets for Washington Forum

  • Manage development and production of onsite State of the Industry program book with communications

  • Work with communications to ensure event websites are maintained with up to date information and details

  • Manage shipment to/from venue

Experience and traits required:

·        Minimum 7 years meeting planning experience
Effective negotiating skills and proven financial management  experience
Strong time management skills, self-motivated with ability to work in a face-paced and deadline-oriented environment
Keen attention to detail
Superior communication skills, oral and written
Ability to establish and maintain effective and collaborative relationships with all vendors, staff, members, exhibitors and key stakeholders
Outstanding customer service skills, internally and externally
Trade association experience preferred
Ability to travel to events as needed (State of the Industry in March, Washington Forum in September – local, State Lobby Days)
Certified Meeting Professional (CMP) designation preferred
