AFPM, the American Fuel & Petrochemical Manufacturers, is the premier trade association for the refining and petrochemical industry, representing more than 90 percent of our nation's fuel and petrochemical manufacturers. The Association is headquartered in Washington, D.C.
We are looking for a Meeting Planner to work with our Convention Services Team in planning and executing the logistical support functions for meetings and conferences held by AFPM.
Duties to include:
Provides logistical support for specific AFPM conferences, possible unscheduled seminars that occur occasionally as well as small committee meetings as assigned by the Senior Director, Convention Services.
Logistical support includes developing detailed specification sheets for room assignments and setups, food and beverage needs, a/v requirements, and all other ancillary services required to execute the meeting.
Coordinates with staff responsible for the program to identify requirements.
Manages the expenses of all meetings through strict adherence to the meeting budget.
Contributes to web content for meetings in question.
Prepares requests for proposals to potential vendors to provide required services.
Conducts site/planning inspections to plan details of the meeting.
Travels to all assigned meetings.
Manages on-site execution of all arrangements.
Prepares exhibit prospectus, sells and assigns booths, and prepares all communication with exhibitors.
Other duties as assigned.
Bachelor’s degree preferred minimum of 5 years of association meeting planning and exhibit experience.
Proficiency in MS Word, Excel, Outlook, with HTML and database familiarity
Must exhibit excellent oral and written communications and negotiating skills
Must demonstrate high level organization and attention to detail
Ability to multi-task in a deadline-driven environment.
Ability to travel potentially 6 weeks annually
