Partnerships & Alliances Member Events Coordinator

Department Summary

Partnerships and Alliances (P&A) is an exciting and entrepreneurial revenue-generating department within DDC. P&A generates approximately 15% of Destination DC (DDC) overall revenue through membership (dues), sponsorship and special events. Engagement and retention of the 1,000 business members and acquisition of new members is critical. Sponsorships contribute to the organization’s operational budget and strategic partnerships help promote and leverage key events and assets within our city. Collectively, DDC members, sponsors and partners contribute to our city’s vibrant economy and the positive image and identity of Washington, DC as a world-class destination for locals, visitors and convention attendees to enjoy.

 

Position Summary

The Member Events Coordinator is responsible for developing special event programming that promotes Destination DC to potential members, retains current members and encourages member-to-member interactions that support economic growth in the nation’s capital.

 

A successful Member Events Coordinator offers a combination of:

§  Organizational and communication skills to successfully coordinate events with venues, vendors, sponsors, members and DDC staff.

§  Collaborative spirit and diplomatic finesse to work effectively within the organization to ensure that benefits are delivered to sponsors and partners.

§  Creative ideas for engaging partners and generating sponsor packages.

§  Ability to build positive and lasting relationships with event sponsors to enlist their long-term support of DDC. 

§  Genuine interest in and knowledge about DDC and partners/sponsor events and businesses. 

 

Essential Duties and Responsibilities

EVENT PLANNING & PRODUCTION – Member & American Experience Foundation (AEF) Events

§  Research, conduct site visits and secure venues for approximately 25-30 events/year.

§  Schedule, facilitate content and registration, and invite copy for webinars.

§  Responsible for event programming and registration for the annual VIP July 4th Celebration of the American Experience Foundation (AEF), DDC’s affiliated 501(c)(3) charity.

§  Negotiate venue rental, food and beverage, audio visual, entertainment, gifts and other items pertaining to the event/meeting based on approved budget.

§  Serve as the liaison between Destination DC and all vendors including host venue, sponsors, caterer, audio visual company, entertainment and/or Destination Management Company.

§  Develop programming in conjunction with VP and secure speakers for each event. Maintain awareness of current trends and technology in the event industry and implement them in member event programming.

§  Collaborate with Partnerships Managers and AEF Manager to prospect sponsors for member events and to suggest benefits for sponsors as they pertain to member events.

§  Track payment schedules, project plans, implementation plans, and project/program delivery across member events. 

§  Responsible for overall event budget and oversee that all vendor invoices are paid in a timely manner. Track revenues and expenses, analyze event effectiveness, report and provide recommendations to team.

§  Administer registration, both prior to and during events.

§  Schedule, train and oversee Destination DC volunteers for member events.

§  Serve as the on-site point of contact for each member event day of.

§  Report and recap events, send thank you letters/gifts and emails.

 

MEMBER EVENT MARKETING

  • Create, build and send electronic invitations and member emails through online marketing tools Cvent and Distribion.

§  Collaborate with the Production Manager and Graphic Designers on all collateral material pertaining to each event. This includes, but is not limited to: electronic invitations, printed invitations and signage.

 

ACTIVE PARTICIPATION AS PART OF THE P&A TEAM

§  Data: Update partner records and track communications in the database (SimpleView)

§  Collaborate to support membership goals and offer ways members may meaningfully engage through partnerships and sponsorship.

§  Serve as liaison to the Membership Committee of the board and industry leaders.

§  Attend weekly company-wide and departmental meetings.

§  General department duties as needed.

 

Experience, Competencies & Education

§  Minimum two to five (2-5) years progressive event, marketing and/or hospitality industry experience.

§  Bachelor’s Degree (B.S./B.A.) from four-year college or university.

§  Technical proficiency with Microsoft Office and customer relationship management (CRM) systems required. DDC uses the Simpleview database.

§  Interest in relevant business and trade publications to stay abreast of issues and source new prospects.

§  Excellent communication skills.

§  Superior organizational skills and attention to detail.

§  Willingness to work evenings and weekends; willingness to travel.

Accountabilities & Measures

Meet goals, both cash and in-kind, and performance plan as established by the Vice President of Partnerships and Alliances. Weekly status reports required and periodic performance evaluations will be conducted. Both quantitative and qualitative goals of event participation, revenue and in-kind partner contributions will be measured. Successful sponsorship acquisition, renewal and partnerships will require a robust and collaborative event program. Events will be evaluated with sponsorship in mind.
