Sr. Manger, Meeting Services

Consider joining the talented staff at HIMSS as the Sr. Manager, Meeting Services.  The purpose of this position is to manage the logistical services at the HIMSS Global Conference, regional meetings, and other Enterprise events as assigned by the Vice President, Meeting Services.  Meetings management will include project planning, coordination, and execution of all logistics of a meeting and will involve frequent interaction with Enterprise staff, student volunteers, cosponsors, and suppliers to ensure successful events.  

Key Responsibilities:

  • Manage all project responsibilities in adherence with budgetary guidelines and the vision of HIMSS.
  • Responsible for managing and overseeing logistics for the HIMSS Global Conference and Regional Programs.
  • Supervise Meeting Services Staff on hotel and travel including annual conference contracting, room block management, historical tracking and other meeting services responsibilities as assigned.
  • Research and implement best practices to improve meeting services for the HIMSS Global Conference, education programs and other society meetings including competitive analysis.   Make recommendations on strategic impact of best practices.
  • Work closely with department staff and vice president on creation of strategic plan.
  • Create and distribute service vendor "RFPs", analyze response proposals and vendor. Negotiate and finalize vendor contracts.
  • Track and document status of all projects and assignments to accomplish goals and objectives. Evaluate progress and report to Vice President of Meeting Services.
  • Collaborate with marketing to promote the HIMSS Global Conference, and other Society events.
  • Oversee the management of the budget process for Global Conference including monthly and year end tracking and reporting of financials.
  • Develop and oversee continuing relations with cosponsors, partnering organizations, supporting organizations and laborative partners for both North America and regional programs if applicable.
Qualifications:
  • A Bachelor's degree in Event or Meeting Planning, Hospitality, or Management is preferred; or equivalent experience.
  • Certified Meeting Professional (CMP) designation preferred.
  • A minimum of seven (7) years of project management experience within a professional association, or within a customer service-oriented organization/hospitality setting.
  • Highly developed negotiation skills and experience with hotel contracts and room block management. ect experience working within a hotel environment is preferred.
  • Experience with meeting planning logistics including room specifications, audio/visual equipment, conference decorator services and F&B planning.
  • Knowledge of health care provider issues helpful.
  • Demonstrable experience with personal computers is essential especially word processing, spreadsheet, charting, and data base management software.
  • Experience in the development of al project plans and budgets as well as the use of appropriate planning and budgeting techniques is considered essential.
  • Highly developed oral and written communication skills and outstanding interpersonal skills.
  • Experience in team project environment experience a plus
  • Must be able to travel in the U.S. and up to 15% of the time
